1. Information We Collect

Kova collects information you provide when you create an account, add employees, and use our platform. This includes names, email addresses, employment data, and organizational information. We also collect usage data and analytics to improve our service.

2. How We Use Your Information

We use your data to provide HR management services, process payroll (via Check.com), power AI features (via Anthropic), send notifications, and improve the platform. We never sell your personal data to third parties.

3. Data Security

All data is encrypted in transit (TLS 1.3) and at rest. We use row-level security (RLS) in our database to ensure tenant isolation. Sensitive payroll data (SSN, bank accounts) is stored only with our payroll provider, not in Kova's database.

4. AI Data Processing

When you use AI features, your organizational data is sent to Anthropic's Claude API for processing. We use tenant-scoped queries to ensure only your organization's data is included. AI outputs are cached for performance but your data is never used to train AI models.

5. Data Retention

We retain your data for as long as your account is active. When you delete your account, we delete all associated data within 30 days, except where retention is required by law (e.g., payroll records).

6. Your Rights

You can export your data at any time via the Settings page. You can request deletion of your account and all associated data by contacting support@kovahr.com.
